Enter Asset Hours

5 min read
Available now on Beta, This feature is in beta testing and will roll out to everyone soon.

What is this?

The assets step records which machines worked and for how long. You split each asset's hours across phase codes and pick the operator. Where an asset reports telematics, Clue shows those hours next to yours. Clue also prices each asset from your rate book, so you see what the machine cost for the day. You can add a comment to each asset line.

Who's this for?

  • Foreman, enter machine hours and operators for the shift.
  • Superintendent, check that reported hours match the machine data.
  • Equipment manager, see which assets worked and on which codes.
  • Project manager, see the equipment cost of the day, fuel included.

How to use it

Step 1: Open the assets step

Go to Step 3 of 5 · Assets. Each asset on site is a row. Type its hours under each phase code.

Step 2: Compare with telematics

Look at Total. The line under it shows the asset hours from telematics, so you can see any gap.

Step 3: Pick the operator

Click + Operator on a row. Choose On site or Everyone, then pick the person.

Step 4: Add an asset

Click + Add Asset. Search or filter by Asset Type, tick the assets, and click Apply.

Step 5: Check the cost

Look at Cost. For an asset with an hourly rate, the cost is the rate times the hours. Here, EX-104 worked 8 hours at $390 per hour, so the cost is $3,120.00.

Step 6: Check the rates behind the cost

The rate comes from Rates > Rate Book. Here, the rate line has Operating at $350.00 per hour and Fuel at $40.00 per hour. The daily adds them up to $390 per hour. See Setting Up Rate Books to set up hourly and fuel rates.

Step 7: Add a comment to an asset

Click the comment icon next to the asset name. Type the comment. You can use bold, italic, lists and emoji. Click Apply to save it, or Clear to empty it.

Step 8: Read a comment

A blue icon means the line has a comment. A grey icon means it has no comment. Put the pointer on the icon to read the comment, with who wrote it and when.

The full details

  • Assets: Shows how many assets are on site and their total hours.
  • Operator: The person who ran the asset.
  • Next day: When you plan tomorrow, each machine keeps today's operator. A machine that a temporary crew member ran shows no operator here. The Crew step keeps that person on the machine.
  • Status: The asset state for the day, such as operational.
  • Phase code columns: Hours the asset worked on each code.
  • Other: Hours not billed to a phase code.
  • Cost: Asset cost from its rate. You see it only if your role can see daily costs.
  • Hourly rate: The cost is the rate times the hours. The rate line's charge period must be By Hour.
  • Daily rate: The asset costs the day rate once, on a day it worked.
  • Rate types: The rate is the sum of every rate type turned on in the rate book, such as Operating plus Fuel.
  • Project rates: If the project has its own rate book, its price wins for the same rate code.
  • Dates: Clue uses the rate book that is in force on the date of the daily.
  • Total vs telematics: Your total hours, with the telematics hours shown below.
  • T&M: Marks the asset row as extra work.
  • + Add Vendor: Adds a rented or vendor unit that is not in your asset list.
  • Comments: Each owned, rented and vendor asset line can have one comment. It shows who wrote it and when. When a comment is added, changed or removed, Show History records it with the old and new text.
  • When you can comment: In every status, also after approval. On an exported daily, your role needs Overwrite exported.
  • Daily report: The comment shows under the asset line on the daily report.
  • After submit: With the role permission Edit materials, tools and equipment after submit, you can change asset hours on a submitted or approved daily. See Approving Dailies.

Tips

  • If your total and the telematics hours differ, check the hours before you submit.
  • Use a comment to explain a gap, such as a vendor invoice that bills more hours than the operator log shows.
  • If Cost is empty for an asset with hours, the asset has no rate. Ask the office to add it to a rate book.
  • The Daily Report panel lists every asset with its hours under ASSETS · STEP 3.
