Parts management

One record for every part. From request to repair.

Parts inventory across shops, warehouses, yards and jobsite trailers

Track Parts Across Shops, Warehouses, and Jobsite Trailers

Shops search every location for a part. Teams see on-hand stock at each warehouse, yard, shop, and jobsite trailer before they order.

Multi-location inventory: Track parts across warehouses, shops, yards, and jobsite trailers

On-hand quantities: Review current stock levels by inventory location

Inventory locations: See where parts are stored before creating a request or order

Org-level visibility: Manage parts visibility across divisions, regions, or sub-organizations

Parts lookup: Search and review parts across available inventory locations

Parts request added to a work order for an excavator repair

Keep Parts Requests Tied to the Repair

Mechanics request several parts from the work order on their phone. The WO Parts tab shows each request, its stock or order status, and whether inventory or a vendor will supply it.

WO parts requests: Let mechanics request parts directly from the work order on mobile

Multiple parts at once: Request several parts from the same work order without creating separate requests

WO Parts tab: Keep requested parts, source details, and fulfillment status visible inside the repair record

Inventory or vendor sourcing: Review whether parts are coming from stock or a connected vendor workflow

Request status: Track requested, ordered, and received parts so the repair keeps moving

Part record with stock settings, unit cost and reorder point

Control Stock Levels With Reorder Points and Unit Costs

Each part record shows on-hand quantity, reorder point and latest unit cost for its storage location. When a part is consumed on a work order, Clue applies the latest recorded unit cost to that job. Parts below their reorder point appear on the replenishment review.

Stock settings: set quantity on hand and reorder points per shop or storage location.

Unit cost tracking: Keep unit cost tied to the part record for repair and inventory cost review

Latest unit cost: Apply the most recent unit cost when a part is used

Category and location: Organize parts by category and storage location for faster lookup

Parts orders with purchase orders and vendor sourcing tied to repairs

Keep Repair Context on Every Parts Order

Each parts order links back to the work order, the machine and the inventory record. Deliveries are logged so received stock shows against the right location. A part can be sourced from existing inventory, raised on a purchase order, or ordered through Gearflow where that connection is configured. The work order shows which route each part took.

Purchase orders: Create and track parts purchase orders from the parts workflow

Order status: Review requested, approved, ordered, received, used, or cancelled parts as work moves forward

Delivery logging: Record parts deliveries so received stock is visible to the shop

Gearflow marketplace: order parts through Gearflow without leaving the work order.

Organization and access settings with sub-organizations and API connections

Keep Parts Data Usable Across Larger Teams

Parts teams across the company work from the same parts record. Clue supports up to three levels for divisions, business units, or regions. Approved systems use the API to create part orders and check stock by location.

External parts API: Let approved systems create part orders, check inventory, and pull inventory location data

Connected system workflows: Keep parts, work orders, cost codes, and order activity ready for ERP or procurement workflows

Access control: Manage who can view or act on parts workflows based on configured user roles

Work order cost showing parts cost on the repair record

Keep Parts Cost Tied to the Repair Record

Each work order shows labor beside the quantity and unit cost of each part the mechanic uses. Picking a task fills in cost codes for parts and labor. The work order ties parts cost to the equipment.

Parts cost tracking: Track parts used on work orders with quantity, unit cost, and part details

Asset cost context: Keep parts cost tied to the asset receiving the repair

Cost code connection: Carry cost-code context from work order tasks into parts and labor entries

Work order cost review: Review parts and labor together inside the repair record

ERP-ready records: Keep parts, labor, work order, and cost-code activity ready for connected ERP workflows

Common questions

Construction inventory management software FAQ.

What is parts inventory software?

Parts inventory software tracks service parts, stock levels and orders across storage locations, and ties each parts request to the machine and the work order it is for. Maintenance teams can see what is available before a repair starts, and what each repair consumed afterwards.

Maintenance parts. This covers service parts, stock locations, requests and recorded usage against work orders. Project materials and consumables are handled elsewhere.

A spreadsheet holds the count but not the link to the repair. Here the request starts inside the work order, so the part is attached to a machine, a job and a cost code without anyone re-keying it, and the on-hand number moves when the part is actually consumed rather than when someone remembers to update the sheet.

Mechanics can request parts directly from the work order, including multiple parts at once. The WO Parts tab keeps requested parts, source details, and fulfillment status connected to the repair, so teams can review whether parts are coming from inventory or a connected vendor workflow.

Yes. Mechanics request several parts at once from the work order on their phone. Clue ties each request to the equipment and work order. The shop sees what each repair needs.

Shop inventory software shows parts at each warehouse, yard, shop, and jobsite trailer. With construction site inventory tracking, teams see on-hand quantity, reorder point, and unit cost for each location. They check stock before a new request or order.

Clue helps teams track maintenance parts from request through use. Parts activity can stay connected to the work order, asset, unit cost, cost-code context, and repair record so maintenance and finance teams can review what each repair consumed.

Clue supports parts purchase workflows by keeping requests, orders, received parts, unit costs, and work-order context connected. Teams can create and track parts purchase activity from the parts workflow and keep ordering records tied to the repair.

Yes. Clue supports Gearflow marketplace integration, allowing parts ordered through a work order to be fulfilled through Gearflow. The work order can show whether a part came from inventory or a vendor workflow.

Yes. Clue can apply the most recent unit cost when a part is used. This helps maintenance teams keep part cost records current without manually looking up pricing during repair cost review.

Yes. Clue can carry cost-code context from work order tasks into parts and labor entries. This helps parts costs stay tied to the repair, asset, and ERP-ready cost record.

Yes. Clue supports external API workflows for parts. Approved systems can create part orders, check inventory, and pull inventory location data through Clue's external API.

ERP systems are useful for accounting and procurement, but shop teams need parts activity connected to the work order, asset, mechanic workflow, and repair record. Clue keeps parts requests, vendor sourcing, unit cost, cost codes, and repair context closer to the maintenance workflow, while still supporting connected ERP processes.

The right software tracks parts across many locations, shows what is in stock, and ties parts requests and costs to each repair. It fits the work of shops, mechanics, and procurement teams.

Mechanics can use Clue's iOS or Android app to request several parts from a work order on their phone. Clue ties each request to the equipment and work order. Push notifications alert mechanics to work order updates. The shop sees what each repair needs.

Each division or region can manage its own parts in Clue. Clue supports up to three levels for divisions, business units, or regions. Each level can have its own users, equipment, and permissions. Role-based access controls who can view parts or take action.

Yes, Clue's AI Report Builder can build parts inventory reports from a plain-language request. It picks the fields and filters for the report. Teams can pick those details themselves. Clue can email any report on a daily, weekly, or monthly schedule.

Yes, Clue can scan parts by barcode or QR code. In the Clue mobile app, mechanics use the phone camera to scan common barcode types or QR codes while requesting parts from a work order. The scan fills in the part search so they can find the right part on their phone.
